Introduction
The most up to date version of our Terms & Conditions will always be displayed on our website. It is your responsibility to have read them and follow them. It is the responsibility of the parent or group leader to have familiarised themselves with these Terms & Conditions and the parent or group leader is responsible for ensuring that those in their care understand and abide by them.
GENERAL
GROUPS
Groups are classed as 8+ participants and are priced depending on time of day – off peak before 4pm on weekdays, peak after 4pm on weekdays, weekends and school holidays. To make a booking, contact the centre with details of the group organiser, number of participants, date and time of session and any special requirements (accessibility, medical etc). A booking will only be confirmed once these details have been provided and a deposit paid. Final numbers will need to be confirmed 7 days before the date of the session and this will be the final payment required.
Group organisers are responsible for collecting the required information on their group, completing a group form and making payment.
Our instructor led sessions operate on a 1:9 ratio. If you book a group session, you are agreeing to this ratio. If there is a reason that you do not think this ratio is suitable for your group (such as different physical, behavioural or learning abilities) we can offer reduced ratio options – please contact us for details and price. Our instructors will carry out the session in a way that makes it safe for all participants.
While attending an activity, our instructors are responsible for the safety of the group. We reserve the right to remove an individual or to stop a session if the behaviour of an individual or of the group is unsafe. No refunds will be made for sessions ending early due to disruptive behaviour. We expect the support of the group organiser in managing any behaviour concerns.
If a group would like to make use of the café space after the session this must be arranged with the centre at the time of booking.
Sessions must start and end on time. If a group is late, we will not be able to run the session over the original finish time to make up for lost time.
Birthday parties operate in a similar way to groups. Parties are charged a set price for up to 9 participants and this payment will be taken at the time of booking. Additional participants will be charged individually, and numbers need to be confirmed 7 days before the party to ensure appropriate staffing. Birthday parties include up to 30 minutes of the café space, please do not over run this time as the space may be needed for other customers and/or groups. Where possible please take away waste generated by the party (gift wrapping, takeaway containers, food waste etc) as we may be unable to recycle it appropriately.
In the event of a group/birthday party being unable to make their session we expect as much notice as possible and we will endeavour to rebook at a mutually convenient time.
External groups with their own instructor wishing to use the centre must book in advance to ensure that we can operate safely within our capacity. Before bringing a group, external instructors must:
INSTRUCTED SESSIONS
Instructed sessions include Young Climbers Club, NICAS, Tasters, Belay and Learn to Lead courses, Coaching and Outdoor sessions. These are available to book online or at the centre.
NICAS members are entitled to book 1 instructed session per week. If they are unable to make the booked session, we appreciate being notified as we can offer the space to someone else. Our Young Climbers Club and NICAS sessions operate on a 1:9 ratio, if you feel this is inappropriate for your child’s needs, please discuss alternative options such as a 1:1 session with the centre.
Payment for all instructed sessions is taken at the time of booking and participants must be registered with the centre before taking part. If this is not done before the session instructed time will be used and the session will still finish at the original time.
All instructed sessions start and finish at allotted times.
If you are unable to make your booked session, we need at least 24 hours’ notice and will endeavour to transfer the booking to a mutually agreed new date. If we are not given notice of cancellation, you will lose the booking and no refund will be offered.
In the unlikely event of us needing to cancel a booking, we will contact you and arrange a new date or offer a refund.
If there are no bookings on a scheduled session (e.g. YCC, NICAS) we reserve the right to cancel the session and schedule an alternative offering in its place.
Outdoor sessions are subject to dynamic risk assessments, and we may need to change time or location at short notice due to adverse weather, overcrowding etc. Participants need to be physically fit and capable of walking over uneven ground etc to the climbing location which may be at some distance from a carpark. Outdoor sessions are for participants only. Under 18s must have their parent or legally appointed guardian present but they do not need to be participants.
The wearing of helmets is compulsory for outdoor sessions.
CONCESSIONS
A concessionary rate applies to the following groups/individuals on proof of status. We do not offer concessions for instructor led sessions or memberships.
Gift vouchers can be bought through our website for a specified amount of your choosing. If you want them to cover a specific session or course, we can advise of the amount to purchase – please ask at reception. Gift vouchers are non-refundable.
MEMBERSHIP
We offer 2 memberships:
You can sign up to membership online or at reception. Your first payment will be a pro rata payment based on the normal monthly membership. You will be asked to provide credit or debit card details from which a recurring payment will be taken on the third day of each month until you decide to cancel (or your card expires).
Pausing monthly membership
Should you wish to freeze or cancel your membership you can do so by filling out the online request form on our website. This must be submitted 7 days before the next billing date, and you will be able to continue using the centre as a member until that date. No refunds will be given on memberships. If you freeze your membership, you will need to notify us when you wish to restart it.
If your card expires or there are insufficient funds in your account on the date your payment is due, we will attempt to take payment again. If we're still not able to take payment, we will put a note on your account that payment was declined. Your membership will be suspended until you settle the account (which you can do at the desk at your next visit).
NICAS Membership
Under 18s can take advantage of our NICAS membership which allows members to attend 1 x Young Climbers Club or NICAS session a week. These can be booked online and must be booked in advance. If a Young Climbers Club or NICAS session has no bookings, we reserve the right to cancel it at short notice.
Future pricing
We reserve the right to change our membership pricing and will advertise our intention to do so with enough notice for you to cancel your membership before price changes take effect.
Opening hours
Members and guests have unlimited entry to the centre during our normal opening hours. We may make seasonal changes to our opening hours and will advertise these in advance in the centre and on social media as well as our website. We reserve the right to close our premises to carry out repairs or maintenance or for other circumstances outside of our control.

GENERAL
- All customers must complete an Acceptance of Risk document before climbing. This can be completed online through our website.
- You must report to reception on arrival at the centre to be checked in before climbing or participating in a session. All group participants must be named on a group form.
- Please keep us up to date with any changes to your personal details.
- Please do not take food or drink onto the mats in the bouldering room or into the belay zone of the main hall.
- Customers deemed to be under the influence of alcohol or drugs will be asked to leave the centre.
- If you are involved in an incident or accident, or if you witness one, please ensure that it is reported to a member of our staff as soon as possible.
- Aggressive or abusive behaviour towards staff or other customers and / or wilful damage to equipment will not be tolerated and you may be asked to leave the centre.
- Personal belongings are always your responsibility, and we accept no responsibility for any loss or damage. There are storage boxes in the main hall for your use. Items left behind will be kept in lost property and retained for one month before unclaimed items are passed on to local charities or sold in the centre as second hand.
- Competent climbers may sign in up to 2 people to climb under their supervision.
- We have no minimum age for children if they are climbing under the supervision of their parent/guardian and an adult may supervise up to 2 children (as above). Supervision of children is the responsibility of the parent/adult when they are climbing or in any part of the centre unless they are part of an instructed session.
- We provide all necessary equipment for instructed sessions which undergoes regular safety checks. If you are climbing using your own equipment this is at your own risk and your equipment is your responsibility. If our instructors are unhappy with the condition or age of your kit you may be asked to cease using it and borrow ours while you are in the centre. Our kit is only for use in the centre and may not be taken out of Dynamic Rock.
- We operate a no-shirts off policy throughout the centre.
- We sometimes take photos and videos of the climbing area and café as well as customers for our publicity and marketing material. If you wish not to be photographed, please tell a member of staff.
- CCTV is in operation throughout the centre.
- We reserve the right at our absolute discretion to refuse access to and / or membership of Dynamic Rock.
- We reserve the right to amend these terms and conditions without notice.
